Every email account has a storage quota — a maximum amount of space your mailbox can use. Once you understand how it works, managing it is straightforward.
What is mailbox quota?
Your email provider assigns you a maximum mailbox size (for example, 50 GB, 100 GB, or 1 TB). Each email, attachment, and folder counts toward this total. When you reach the limit, you typically can't receive new emails until you delete some old messages.
Checking your storage usage
1. Sign in to Axigen Webmail.
2. Look for a Storage, Quota, Account, or Usage indicator. It's often displayed:
- In the top-right area of the interface
- In a Dashboard or Home view
- Under Settings > Account or Storage
3. You'll see a bar or percentage showing how much space you've used (e.g., "45 GB of 100 GB used").
How storage is calculated
Everything in your mailbox counts toward your quota:
- Sent folder: Copies of emails you've sent
- Deleted/Trash folder: Messages you've deleted (still use space until permanently removed)
- Drafts: Unsent messages
- Attachments: Large files attached to emails can use significant space
- All folders: Every folder, including custom ones
Freeing up space
Delete old or unwanted emails
- Browse to the folder with messages you want to remove.
- Select emails (click checkboxes or use select-all).
- Click Delete.
- Messages move to the Trash folder.
Empty your Trash folder
- Click on the Trash or Deleted Items folder.
- Look for an Empty Trash button or option.
- Click it to permanently delete all trash (this frees up space).
- Confirm if prompted.
Archive old messages (if supported)
Some email systems let you archive messages instead of deleting them. Ask your provider if this option is available — it may move old emails to a separate storage area.
Delete large attachments
- Search for emails with attachments or browse folders.
- Look for messages with a paperclip icon (indicating attachments).
- Delete the email, or download and remove the attachment separately.
Clean up the Sent folder
Your sent emails count toward quota. Consider deleting very old sent messages you don't need to reference.
What happens when quota is full?
- New emails are rejected: Your sender receives a "mailbox full" error.
- You can't send or receive: Most operations are blocked until space is freed.
- Existing emails remain: Messages already in your mailbox don't disappear; they just can't grow.
Tips to stay within quota
- Regularly delete old emails: Set a monthly reminder to clean up.
- Download and remove large attachments: Keep documents you need, then delete the email.
- Unsubscribe from newsletters: If emails pile up unread, unsubscribe or move them to a separate folder and clean it periodically.
- Check your quota monthly: Make it a habit to see how much space you're using.
If you consistently exceed quota
Contact your email provider. You may be able to:
- Upgrade to a larger mailbox size (may incur additional fees)
- Archive old messages to local storage on your computer
- Set up email forwarding or filters to reduce incoming volume
Your provider can advise the best option for your needs.
