Manage Spam and the Quarantine in Axigen

Review quarantined emails, whitelist trusted senders, and configure spam filtering to reduce unwanted messages in your inbox.

Updated

Axigen Webmail includes spam filtering to keep unwanted emails out of your inbox. You can review quarantined messages, whitelist trusted senders, adjust filter sensitivity, and permanently delete or recover messages as needed.

Access the Quarantine Folder

### 1. Find Quarantined Emails
- Log in to your Axigen Webmail account
- Look for a Spam, Junk, or Quarantine folder in your folder list (usually in the left sidebar)
- Click on it to view messages flagged as spam or suspicious

### 2. Review Messages in Quarantine
- Each email shows the sender's address, subject, and date received
- Axigen typically keeps quarantined messages for 7–30 days before automatic deletion (your provider will confirm the retention period)

Recover a Legitimate Email

If a message was incorrectly flagged as spam:

### Option A: Move to Inbox
- Select the message in the Quarantine folder
- Click Move to or drag it to your Inbox folder
- The email will appear in your main inbox

### Option B: Whitelist the Sender
- Right-click the sender's address, or open the message and click Add to Contacts or Trust Sender
- Future emails from this sender will skip spam filtering
- If available, select Add to Whitelist directly from the Quarantine folder

Permanently Delete Spam

  • Select one or more messages in the Quarantine folder
  • Click Delete or press the Delete key
  • Confirm deletion (emails cannot be recovered after this step)

### Bulk Delete Old Spam
- Most Axigen installations allow you to select all messages in the Quarantine folder
- Click Select All, then Delete to remove messages in bulk
- Be cautious: verify the date range before confirming

Configure Spam Filter Settings

### 1. Open Spam Settings
- Click Settings (gear icon) → Spam or Filtering

### 2. Adjust Filter Sensitivity (if available)
- Low — Few emails marked as spam; some spam may reach your inbox
- Medium — Balanced filtering (recommended for most users)
- High — Aggressive filtering; may quarantine legitimate emails

  • Select your preferred level and save

### 3. Whitelist Trusted Senders
- In Spam settings, find the Whitelist or Safe Senders section
- Add email addresses or entire domains you trust (e.g., friend@company.com or @company.com)
- Messages from whitelisted senders will never be marked as spam

### 4. Blacklist or Block Senders
- In Spam settings, find the Blacklist or Blocked Senders section
- Add addresses or domains you want to block
- Messages from blacklisted senders go straight to spam or are deleted

Create a Filter to Manage Spam

For more control, set up a mail filter (see "Create Filters and Rules in Axigen"):

Example spam filter:
- Condition: Email contains certain keywords (e.g., "viagra", "casino", "prize")
- Action: Move to → Spam folder, Stop processing

Example whitelist filter:
- Condition: From = boss@company.com
- Action: Apply label → "Important", Stop processing (ensures no spam filter touches it)

Tips and Best Practices

Don't reply to spam: Replying confirms your email is active and generates more spam. Delete silently.

Use unique email addresses: If you have a personal and work email in Axigen, use the work email for professional contacts and personal email for friends—this naturally reduces spam to your work inbox.

Unsubscribe from mailing lists: If an email has an "Unsubscribe" link at the bottom, click it to stop future messages from that sender. Marketing emails with unsubscribe links are legitimate; messages without one should be reported as spam.

Report phishing: If you receive a suspicious email claiming to be from your bank or a service you use, mark it as spam and forward the original email (headers intact) to your IT department or the legitimate sender's abuse address.

Review Quarantine regularly: Check your Spam folder weekly to ensure no legitimate emails are trapped. Providers vary in retention (7–30 days), so act quickly if you need to recover something.

Adjust as you learn: If a sender is consistently wrongly classified, adjust your whitelist. If spam is increasing in specific categories, raise filter sensitivity.

Troubleshooting

Too much spam reaching Inbox:
- Increase filter sensitivity in Spam settings
- Whitelist trusted senders you use often
- Create filters for common spam keywords

Legitimate emails going to Spam:
- Lower filter sensitivity, or
- Add the sender to your whitelist, or
- Create a filter rule for that sender's address to keep emails in Inbox

Can't find the Quarantine folder:
- Contact your email provider—some installations use "Spam" or "Junk" instead of "Quarantine"
- Your provider can also tell you the automatic retention period for quarantined mail

Remember: Your email provider manages the server-side spam filtering, and Axigen Webmail provides you with quarantine management tools. If spam is overwhelming, your provider may also offer server-level policies to discuss.
